“Company” refers to VR Travel Bureau.
“Client” refers to any individual or organization that uses our services.
“Services” refers to the travel-related services provided by VR Travel Bureau, including but not limited to travel bookings, accommodation arrangements, and tour packages.
1. Booking and Reservations
1.1. All bookings are subject to availability and confirmation by VR Travel Bureau.
1.2. A non-refundable deposit is required at the time of booking to secure your reservation.
1.3. Full payment must be made within the time specified upon booking confirmation. Failure to pay the balance on time may result in the cancellation of your reservation.
1.4. Special requests (such as meal preferences, hotel room types, etc.) will be communicated to the service providers, but we cannot guarantee that all requests will be fulfilled.
2. Cancellation and Refund Policy
2.1. Cancellations must be made in writing via email or through our office.
2.2. Cancellation charges will apply as per the following schedule:
- More than 30 days before departure: 25% of total booking
- 15-30 days before departure: 50% of total booking
- Less than 15 days before departure: 100% of total booking
2.3. Refunds (if applicable) will be processed within 30 days after cancellation, minus applicable cancellation fees.
2.4. VR Travel Bureau is not responsible for delays or cancellations caused by external factors such as weather, strikes, or other unforeseen circumstances.
3. Travel Documents
3.1. It is the responsibility of the traveller to ensure they have valid passports, visas, and
other required travel documents.
3.2. VR Travel Bureau will assist in providing guidance on visa requirements but holds no responsibility for denied entries or invalid travel documentation.
3.3. Travelers are responsible for securing necessary vaccinations and health precautions before traveling.
4. Pricing and Payment
4.1. All prices are quoted in Indian Rupees (INR) and are subject to change without
notice due to currency fluctuations, government taxes, or other factors beyond our
control.
4.2. Payment methods include credit/debit cards, bank transfers, and cash.
4.3. Any bank charges or transaction fees are the responsibility of the customer.
5. Changes to Itinerary
5.1. VR Travel Bureau reserves the right to make changes to the itinerary due to circumstances beyond our control, such as weather conditions or safety concerns.
5.2. In case of significant changes to your itinerary, VR Travel Bureau will inform you as soon as possible. Alternative arrangements will be made in such situations.
6. Responsibility and Liability
6.1. VR Travel Bureau acts as an intermediary between travelers and various service providers (hotels, airlines, tour operators, etc.). We do not own or operate these services and therefore cannot be held liable for any damages, losses, or injuries caused by third parties.
6.2. VR Travel Bureau is not liable for any accidents, delays, or disruptions caused by unforeseen circumstances beyond our control, including but not limited to natural disasters, strikes, political unrest, or health outbreaks.
7. Travel Insurance
7.1. Travel insurance is highly recommended for all trips to cover unforeseen situations such as cancellations, medical emergencies, lost luggage, or accidents.
7.2. VR Travel Bureau does not provide travel insurance directly but can assist in guiding you to reliable providers.
8. Health and Safety
8.1. Customers are responsible for ensuring their physical fitness to participate in any
travel activities.
8.2. VR Travel Bureau will not be held responsible for any injuries or health-related
issues that occur during the trip.
9. Code of Conduct
9.1. Travelers are expected to respect local customs, laws, and regulations at all times.
9.2. Any misconduct or illegal behavior during the trip may result in immediate termination of travel services, with no refunds provided.
10. Privacy Policy
10.1. VR Travel Bureau values your privacy and will only use personal information for the purpose of booking and organizing your travel plans.
10.2. We do not share your personal data with third parties without your consent, except as required by law.
11. Dispute Resolution
11.1. Any disputes or complaints must be raised in writing within 15 days of the trip’s conclusion.
11.2. In case of unresolved disputes, they will be governed by the laws of Kerala, India, and subject to the jurisdiction of courts in Kerala.
